Our Use of AI

Address 1 Capital Quarter 5th Floor, Tyndall St, Cardiff, United Kingdom, CF10 4BZ. We be contacted at [email protected].
We have produced this AI Use notice in order to keep you informed of how we use and don’t use AI in our office/s and workflow.
We use AI tools to support parts of our sales and lettings service. This page sets out where AI is involved, where it isn’t, and how we keep a person accountable for every decision that affects you.
Where we use AI
- Drafting support: first-pass property descriptions, marketing copy and social content, which an agent then edits and approves before anything is published.
- Admin and research: summarising documents, drafting routine correspondence, and speeding up internal processes like report generation.
- Website tools: chat-based FAQ assistance for general enquiries outside office hours.
Where we don’t rely on AI
- Valuations: every valuation is carried out and signed off by a qualified member of our team, based on local market knowledge and comparable evidence.
- We are working on a tool which utilises AI to suggest a ball-park figure for instant information, this tool is built to mass several factors to provide average price ranges typical of the market at the time of the enquiry.
- Listings and descriptions: we use AI tools to assist with details, layouts and the process of writing-up relevant information.
- Contracts, offers and legal correspondence: these are handled directly by our team. AI does not draft or send anything with legal or financial consequence on our behalf.
- Decisions about your sale or tenancy: recommendations, negotiations and advice come from an experienced property agent, not a chatbot or automated system.
Data and privacy
Where AI tools process any personal or property data, this is handled in line with our privacy policy and UK GDPR. We don’t feed client data into public or free AI tools, and we choose providers with appropriate data protection terms in place.
Our standards, memberships and accreditations
We hold ourselves to the standards set by the professional bodies and statutory schemes we operate under, including:
- The Property Ombudsman — Membership ID number – E03248
- Propertymark — Membership number C0142316
- Deposit protection scheme DPS — all lettings deposits are protected in line with the Housing Act 2004 requirements
- Propertymark / ARLA / NAEA — Membership number M00014396
- Rent Smart Wales – SR779561
- ICO – Information Commissioner`s Office – ZC011044
These memberships mean we’re independently regulated, our client money is protected, and there’s a formal route for redress if something goes wrong — separate from the AI-related contact point above.
Talking to a person
If you’ve interacted with an AI-assisted tool on our site or in our communications and want to speak to someone directly, contact us on 029 2112 2222 or email sales@ or lettings@ richardking.wales and a member of the team will pick this up personally.
Questions or concerns
If you have any questions about how we use AI, or a complaint about something AI-assisted, please get in touch and we’ll respond directly — a person, not a bot.
